Privacy Policy

This privacy policy explains how Harbour Sound Media Ltd. processes your personal data when you interact with PlaylisterUK.co.uk. We are committed to protecting your privacy and handling your information in line with UK data protection law.

Who controls your data

Harbour Sound Media Ltd. (company number 126847) is the data controller for all personal data collected through PlaylisterUK.co.uk. Our registered office is Suite 3.14, World Trade Center, 6 Bayside Road, Gibraltar GX11 1AA. If you have any questions about this policy or wish to exercise your rights, please contact us at privacy@playlisteruk.co.uk. We do not have a formally appointed Data Protection Officer; our editorial and legal team will handle your request promptly.

What data we collect

We collect information in the following ways:

  • Email correspondence – When you email any PlaylisterUK address (including contact@playlisteruk.co.uk) we retain your email address, name and the content of your message to respond and manage our editorial workflow.
  • Newsletter subscriptions – When you sign up via our Newsletter page we collect your email address and preferences. We use a third‑party email platform to send newsletters; your data is stored securely and never used for any other purpose.
  • Music submissions – Artists, labels, PR representatives and managers who submit music through our Music Submissions Policy provide contact details (name, email, phone, organisation) along with music files and promotional materials. These details are used solely for editorial consideration and playlist curation.
  • Technical and analytics data – We collect IP addresses, browser type, device information, pages visited, referring URLs and timestamps. This is gathered via cookies and similar technologies. For full details please see our Cookie Policy.
  • Advertising and affiliate tracking – We use cookies and tracking pixels to serve relevant ads and record affiliate commissions (for example, ticket or music platform links). No personal identifiers are shared with advertisers unless you explicitly consent. See our Advertising & Affiliate Disclosure.

Purposes and lawful bases

We process your personal data only where we have a lawful basis under UK GDPR:

  • Legitimate interests – To operate a digital music publication, respond to correspondence, manage editorial workflows, send editorial newsletters, and measure audience engagement to improve our content. These interests do not override your rights.
  • Consent – For newsletter subscriptions, non‑essential cookies and any processing that requires your active agreement (such as personalised advertising). You can withdraw consent at any time via privacy@playlisteruk.co.uk or by updating your cookie preferences.
  • Contractual necessity – When we enter into commercial agreements with partners, sponsors or contributors we process necessary contact and payment details.
  • Legal obligation – Where we must retain data to comply with applicable laws (e.g., tax records, copyright claims).

Retention

We keep your personal data only as long as necessary for the purpose it was collected. Email correspondence and music submissions are retained for up to two years after the last interaction unless a specific editorial reason requires longer (e.g., ongoing interviews or reviews). Newsletter subscriber data is kept until you unsubscribe. Analytics and cookie data are retained for 14 months or as stated in our Cookie Policy. After the retention period we securely delete or anonymise the data.

Sharing and selling

We never sell your personal data. We share data only with trusted processors who help us run the publication – email platforms, analytics services, hosting providers and advertising networks. These processors are contractually bound to use data only on our instructions and to protect it with appropriate security measures. We may also disclose data if required by law (e.g., to comply with a court order or regulatory request).

How music submissions are handled

Submissions sent via our Music Submissions Policy are reviewed by editorial staff. Contact details are used only for communication about the submission and potential editorial coverage. We do not add you to marketing lists without your consent. If your music is not selected we may keep your details on file for future consideration (up to two years) unless you ask us to delete them earlier.

Your rights

Under UK GDPR you have the following rights regarding your personal data:

  • Access – request a copy of the data we hold about you.
  • Rectification – ask us to correct inaccurate or incomplete data.
  • Erasure – request deletion of your data where it is no longer necessary, consent is withdrawn, or processing is unlawful.
  • Restriction – ask us to limit processing in certain circumstances (e.g., while a dispute is resolved).
  • Portability – receive your data in a structured, machine‑readable format and transmit it to another controller.
  • Objection – object to processing based on legitimate interests (including profiling) or direct marketing.

To exercise any of these rights please email privacy@playlisteruk.co.uk with your request and the email address associated with your data. We will respond within one calendar month. If you are not satisfied with our response you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) – the UK supervisory authority – at https://ico.org.uk/.

Source confidentiality

We protect the identity of contributors who provide confidential tips. If you contact us via our Tip Us page, we will not disclose your personal information without your explicit consent unless compelled by law. We may pseudonymise tips during editorial review to safeguard sources.
